Corona - temporary online services

The service at the counter is currently not possible due to the measures taken against the spread of the coronavirus.

Normal service at the counter is currently not possible due to the measures taken against the spread of the coronavirus. 

However, from Monday 18 May you can visit the Migration Office again by appointment for the application for the electronic residence card and the certificate of immatriculation ('orange card'). 
For other products, you cannot yet visit the desk, but you can submit a digital application. Below you will find information on the application options for each product. 

Which procedure can you now additionally start up online and how?

Request for declaration of arrival - annex 3 (short stay of max. 90 days for third country nationals)

Send an e-mail to loketmigratie@stad.gent with the attachment:

o Copy of passport (data sheet + all pages used)

o If available: copy of the C visa or residence card of another Member State

 

Request for declaration of presence - Annex 3b (short stay of max. 3 months for EU citizens)

Send an e-mail to loketmigratie@stad.gent with the attachment:

o Copy passport or identity card

Note: at the moment we are working with a limited number of staff which means that these requests are not being processed as a priority.

 

Extension of short stay (for third country nationals)

          - Copy of declaration of arrival (annex 3)

          - Copy of passport (data sheet + all pages used)

          - Letter of motivation with reference to the reason for extension + supporting documents

          - Valid health insurance for the period for which the extension is requested

          - The address where you are staying in Belgium

 

Long stay 

Registration EU citizens

Please note that a registration is not necessary to start working. As soon as the employer has the creabis number of the employee, the employment can start.

The creabis number can be requested online.

Statute changes (e.g. to student (extra information can be found in the student brochures), researcher with hosting agreement, ...)

Always submit on time (i.e. before the expiry of legal short or long stay) with the required documents via loketmigratie@stad.gent.

Application for family reunification

Send an e-mail to loketmigratie@stad.gent with the necessary documents.

Application for a single permit (employees) after receipt of annex 46/47

Send e-mail to loketmigratie@stad.gent with annex 46/47 and a photo. After a positive residence check by the police, you can come by appointment to apply for the residence permit.

Renewal of your residence card

Send a timely e-mail to loketmigratie@stad.gent mentioning your national number.

If you have requested the extension in time, you will receive an annex 15 or 49 (depending on the situation). After approval of the extension of the stay, the new residence card can be applied for by appointment.

Power of attorney

A third country national applying for one of the above procedures must add a power of attorney from the person concerned authorising the initiation of this procedure. The power of attorney contains the signature and a scan of an identity document with signature. A power of attorney is not necessary if the application is made via the OCMW, the Transithuis, a relocation agency, a lawyer, a neighbourhood steward or Ghent University.
